Transfer email when changing computers
Note! We have just released new guides specifically for transferring email from one email client/computer to another. If the free instructions in this article are too general for your liking please visit www.Transfer-Email.com.
We have all been there: Changing computer and now we need to move all our personal stuff from the old computer to the new computer.
Documents, music, pictures... that is all easy enough... but you need to move your email too.
How do you do that?
And what if your new computer uses a different email client? Or operating system?
You might be changing from Windows XP to Windows 7. And you want to transfer your email from Outlook Express to Windows Live Mail.
Or you have read about the wonders of open source and want to give Thunderbird a test run, but you are not quite ready to give up Outlook until you know for sure that you will like Thunderbird.
Or perhaps you want to move email from Outlook Express to Apple Mail on your new Mac.
There are products out there which will help you migrate email from one computer to another. I am sure they all work fine.
However doing it the Easy-Email way is better!
Easy-Email makes it easy to move email from one computer to another and from one email client to another.
Why is email migration the Easy-Email way better?
Migrating your email the Easy-Email way gives you additional benefits:
- You can use more than one email client. So if you want to run Outlook and Thunderbird side by side they will automatically be kept synchronized. This could be on the same or on different computers.
- Next time you change computers just install your favorite email client and sync it with Gmail. No need to migrate email from your old computer again.
- If your harddisk crashes or your computer gets stolen you don't lose your email.
- If you are away from your computer and need to check your email you simply log on to Gmail. Send an email from Gmail and it will automatically be on your other computers too!
- If you want to try out a new email client, you can do so without interfering with your old setup. If you like your new client you can keep it. If not you simply uninstall it again. Your emails are safe. No need to import/export email from client to client
Which email clients does this work with?
You can move email between any email clients which support the IMAP protocol.
Some of these are Outlook Express, Apple Mail, Windows Live Mail, Thunderbird, Outlook, Microsoft Entourage, Lotus Notes and Evolution.
What are the steps for transferring email?
The steps are as follows:
- Create a Gmail account.
- On your old email client: create an account to synchronize with Gmail via IMAP.
- Copy all your old email to the new account. Your email will now be uploaded to Gmail.
- On your new email client: create an account to synchronize with Gmail via IMAP.
- Export your contacts from your old email client.
- Import your contacts to your new email client (and optionally to Gmail).
We have written easy to follow guides which explain exactly how you do this.
How do I do this?
Let us look at an example.
John uses Windows Mail and wants to change to Thunderbird. It does not make any difference if the email clients are on the same computer or not. The steps are the same.
John downloads the Easy-Email Essential Guide for Windows Mail and the Easy-Email Essential Add On for Thunderbird.
1. Create a Gmail Account.
Start with the Windows Mail Essential Guide!
This step is described in Chapter 6: Setting up Gmail for email synchronization.
2. On Windows Mail: Create an account to synchronize with Gmail.
This step is described in Chapter 7: Setting up Windows Mail for email synchronization.
3. Copy your old email to the new account.
This step is described in Chapter 13.3: Copy old emails to Gmail from Windows Mail.
4. On Thunderbird: Create an account to synchronize with Gmail.
Change to the Thunderbird Essential Add On guide!
This step is described in Chapter 2: Setting up Thunderbird for email synchronization.
5. Export your contacts from Windows Mail.
Change to the Windows Mail Essential Guide!
This is described in Chapter 13.6: Export contacts from Windows Mail.
6. Import your contacts to the new client and Gmail.
Change to the Thunderbird Essential Add On guide!
Note! Thunderbird can automatically synchronize contacts as well as email with Gmail. Therefore we import the contacts to Gmail and setup contact syncronization between Thunderbird and Gmail.
Importing contacts to Gmail is described in Chapter 5.4: Import Contacts.
Contact synchronization is described in Chapter 4.5: Synchronize contacts between Thunderbird and Gmail.
And the job is done!
Using steps 4 and 6 you can setup as many email clients as you wish and your email will be kept up to date automatically!
One of the reasons why we recommend Thunderbird and Gmail is because of Contact Synchronization. Say you have a netbook and a home computer both running Thunderbird. If you add a contact in Thunderbird on your netbook it will automatically be synchronized with both Gmail and your home computer. Very neat!
